This Privacy Policy explains how Fullfilwave Ltd collects, uses, stores, and protects personal data when you visit our website, contact us, or use our warehousing and fulfilment services. It should be read together with our Cookie Policy and Terms and Conditions.

Fullfilwave Ltd (“we”, “us”, “our”) is committed to protecting your privacy. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and related UK privacy law.

This policy describes the types of personal data we may collect, why we use it, who we share it with, how long we keep it, and the rights available to you. If anything here conflicts with a separate written agreement you have signed with us, the agreement will govern where it clearly applies to that relationship.

We do not ask you to provide special categories of personal data (such as health data) through our general website; if we ever need such information for a specific purpose, we will explain why and, where required, ask for your explicit consent.

4. How we use personal data

  • responding to enquiries, providing quotes, and onboarding new clients
  • performing our contract with you: storage, picking and packing, shipping, returns, integrations, reporting, and billing
  • operating, securing, and improving our systems, warehouse operations, and customer support
  • sending service-related notices and, where permitted, marketing (see section 5)
  • complying with law, regulation, tax, and accounting requirements, and defending legal claims
  • analysing website usage in aggregate to improve our site and services

We only process personal data where we have a lawful basis under UK GDPR. Depending on the activity, that may include:

  • Performance of a contract — for example delivering services you have asked us to provide.
  • Legitimate interests — for example running our business, securing our systems, and improving our services, balanced against your rights and freedoms.
  • Legal obligation — where the law requires us to process data.
  • Consent, where applicable — where we rely on consent, we will make that clear at the time and you may withdraw it as described in this policy.

5. Marketing communications

We may send you emails about our services where the law allows — for example, if you are an existing customer and the message relates to similar services, or where you have opted in to receive marketing from us.

You can opt out of marketing emails at any time by using the unsubscribe link in those emails or by contacting us at sales@fullfilwave.com. We may still send you essential service and account messages (for example invoices, security alerts, or changes to our terms) even if you opt out of marketing.

6. Payments and financial information

If you pay us by bank transfer or other agreed methods, we process the information needed to match payments to your account, issue invoices, and meet accounting and tax obligations. We maintain financial records in line with statutory retention periods.

Where card or other electronic payments are handled, those details are typically processed by our bank or a regulated payment provider. We do not store full card numbers on our systems except as may be strictly necessary and permitted by the payment process and applicable standards.

7. Technical data and website usage

When you visit our website, we and our service providers may automatically collect technical information such as IP address, device and browser type, referring URLs, and pages viewed. We keep personal data only for as long as we need it for the purposes described in this policy, including to satisfy legal, accounting, and reporting requirements, and to resolve disputes. Retention periods vary depending on the type of data and whether we have an ongoing relationship with you. When data is no longer needed, we delete or anonymise it where possible.

Our website may contain links to third-party websites, tools, or portals (for example carriers or integration partners). This Privacy Policy does not apply to those sites. We are not responsible for their content or privacy practices; please read their policies before you provide personal data.
